Reusable Nappy Voucher Application

Real Nappies for London works with London Boroughs to help reduce disposable nappy waste. If you live in one of the voucher-participating London Boroughs below and you are an expectant parent, a parent or foster carer with a baby under 18 months (or under 5 years with a disability requiring nappies), you can apply for a nappy voucher worth up to £70 to help with the upfront cost of buying reusable nappies, or put towards a trial paid-for laundry service.

We aim to process your online application for a reusable nappy voucher within two working days. If you have requested your voucher to be sent by post this can take up to 10 days. Please ensure you complete the form correctly and send us all the requested supporting documents straight away. During busy periods it may take a little longer to process your application. Step 1: Voucher Scheme Eligibility

Who can apply for a reusable nappy voucher:

1. A parent with a baby aged under 18 months.
2. A parent-to-be.
3. A parent with a child up to 5 years old who requires the use of nappies due to a disability.
4. A foster carer with a baby aged under 18 months, or expecting to care for a baby under the age of 18 months.

All living in the voucher-participating boroughs below. Reusable nappy vouchers are issued per baby, not per parent or household.

Voucher-Participating London Boroughs and Voucher Values:

Barnet: £70, Bexley: £50, Camden: £70, Hackney: £70, Haringey: £70, Islington: £70, Lambeth: £40, Waltham Forest: £70, City of Westminster: £70, The Royal Borough of Kingston upon Thames: £50

Who cannot apply:

Childminders, nurseries, people with no recourse to public funds.

Advice on completing the application form:

The form can be completed by either parent (mother or father), an expectant parent, or a foster carer living in a voucher-participating London Borough. We are aware that a majority of supporting documents, such as proof of pregnancy, will be in the name of the child’s mother. While it may be easier to complete the form in the mother’s name, we accept applications made by the father/partner. Please refer to our guidance document in ‘step 3 send your supporting documents’.

    The Real Nappies for London Voucher Scheme will use the personal data you are providing in this Application Form in order to provide you with the services comprised in the scheme. This will include contacting you to remind you about redeeming your voucher, advertise upcoming local reusable nappy events and special offers so you can redeem your voucher and pick up, or donate reusable nappies, and to request feedback on the scheme to improve our service in the future. By proceeding with this application, you are agreeing to allow us to use your personal data in this way.     Reusable Nappy Voucher Scheme Terms and Conditions

    By accepting the Terms of Conditions of the Real Nappies for London (RNfL) Voucher Scheme, a project administered by Wen (Women’s Environmental Network), you agree that: You are living in a voucher participating borough and you are either expecting a baby, have a baby under 18 months (or under 5 years if they have a disability which requires the use of nappies). Vouchers are issued one per baby. Only the applicant may use the voucher and must still be living in the borough upon the time of redeeming the voucher. Any “personal data” (defined by the EU Regulation 2016/679 General Data Protection Regulation (“GDPR”) as any information relating to an identified or identifiable natural person (a “data subject”) will be held by us in accordance with our Data Protection Policy. Information you submit in the application form will be held by Real Nappies for London for 36 months for monitoring and research purposes, after which all personal data will be held by our administrative body Wen for the purposes of audit and tax reasons for six years. Real Nappies for London can contact you during these 36 months to provide the voucher service to you and to:

    1. Remind you to spend your voucher;
    2. Advertise local reusable nappy events so you can redeem your voucher and pick up, or donate, reusable nappies;
    3. Request feedback on the scheme to improve our service in the future.

    By sending Real Nappies for London three supporting documents you are giving us permission to check and securely hold this data for auditing purposes at Wen. We request this information to prove that you are who you say you are, that you have a baby (or are expecting a baby) and that you live in one of the voucher-participating boroughs. Real Nappies for London will issue your voucher by e-mail, unless otherwise stated in the application form. E-vouchers are usually processed within two to three working days and postal voucher will take up to ten working days to arrive. Please add info@realnappiesforlondon.org.uk to your contacts list to make sure that the e-voucher comes through safely. Our marketing e-mails provide voucher applicants with up-to-date information about reusable nappies, offer support if needed, and to advertise local reusable nappy events so you can redeem your voucher and pick up, or donate reusable nappies. By completing the application form you are giving Real Nappies for London permission to contact you in order that we may provide the voucher service to you. To unsubscribe from our e-mails please contact: info@realnappiesforlondon.org.uk. The proper use of the voucher is the responsibility of the person named on it. In the event of fraud, the person registered for the voucher will be contacted by the issuing Local Authority and may be prosecuted. Real Nappies for London does not endorse one particular brand or reusable nappy manufacturer.

    Your Reusable Nappy Voucher:

    • can only be used by the person named on it;
    • can only be used towards, a) buying reusable nappies, wraps, booster pads, liners, nappy grips and training pants, or b) for a paid-for trial nappy laundry service;
    • cannot buy swim nappies, buckets, wet bags, reusable wet wipes, changing mats, clothes or other such baby products;
    • cannot be exchanged for cash, i.e. you cannot have cash change if you buy less than the value of the voucher;
    • must be used within six months of its issue date and redeemed in one purchase with a supplier listed on our ‘where to buy’ supplier list;
    • is only valid while you remain a resident of the borough – you may be asked for identification or current proof of address when you use your voucher.

    Voucher participating Local Authority officers have limited access to check and issue vouchers. All reusable nappy suppliers registered to the Real Nappies for London voucher scheme are given limited access to the Real Nappies for London database for the purposes only of verifying your application by matching vouchers to applicants and to verify and lock an applicant’s voucher when it has been used. Suppliers are only permitted access to the applicant’s name, address and voucher code.

    Step 3: Send Your Supporting Documents

    To prove that you are who you say you are, that you are either expecting a baby or have a baby under the age of 18 months (or under 5 years if they require nappies due to a disability), and that you live in a voucher-participating London Borough, we kindly request that you send us one of each of the following three supporting documents:

    1. Proof of Identity: e.g., a Driver’s Licence, Passport or Birth Certificate.

    2. Proof of Address: e.g., a recent (in the past month) letter, such as a Council Tax Bill (current year), Phone Bill, Utility Bill or Bank Statement. Please note: your driver’s licence cannot be used as proof of address. When submitting documents, redact any irrelevant information, such as banking details. We only require your name, address and a recent date on the letter.

    3. Proof of Pregnancy or Birth of your Child: An official document with your name and the baby’s date of birth (DOB) or estimated date of delivery (EDD), such as a MatB1 Form, NHS prescription charge card, Baby’s Birth Certificate, or Hospital Scan Report. Please note: If applying for multiple births (e.g., Twins or Triplets), please provide your Hospital Scan Report letter.

    For applications made by foster carers – for supporting document 3: we request proof of placement of child: a recent pro-forma document from the relevant fostering provider, showing details of the child’s foster care placement. Please ensure the letter contains the child’s name, date of birth, and the name of the foster carer (voucher applicant’s name). If the letter is dated in the past month and contains your name, address and date then this can also act as your supporting document 2 Proof of Address.

    For applicants with a baby under 5 years that require nappies due to a disability – for supporting document 3: you must provide us with an official letter from a Health Professional, Local Authority, Education Services, or Disability Support Organisation, confirming your child’s disability, their date of birth and the requirement to wear nappies. If the formal letter is dated in the past month and contains your name, address and date then this can also act as your supporting document 2 Proof of Address.

    Why do we request supporting documentation? Our voucher incentive scheme is publicly funded by Local Councils and, as such, is subject to scrutiny. Our funders have set a requirement that we confirm your identity, your status as a parent (or expectant parent) or foster carer, and your residency in one of our voucher-participating London Boroughs to process your voucher application.

    We understand that each family’s journey is unique and the path to parenthood can involve various circumstances. Whether your baby has already been born or is soon to be born, we’re here to assist you in determining the correct supporting documentation you may need to receive a reusable nappy voucher.     If you prefer, you can apply for a reusable nappy voucher in-person and present your supporting documents to us or a local council representative who is authorised to issue our reusable nappy vouchers on the day. To find an event happening near you, please visit our events diary.

    Guidance on Requested Supporting Documents:

    1. For parents with a baby under 18 months, or parents-to-be:

    • Proof of Identity: e.g., Driver’s Licence, Passport or Birth Certificate.
    • Proof of Address: e.g., a recent (in the past month) letter, such as a Council Tax Bill (current year), Phone Bill, Utility Bill or Bank Statement. Please note: your driver’s licence cannot be used as proof of address. When submitting documents, redact any irrelevant information, such as banking details. We only require your name, address and a recent date on the letter.
    • Proof of Pregnancy or Birth of Your Child: An official document with your name and the baby’s date of birth (DOB) or estimated date of delivery (EDD), such as a MatB1 Form, NHS prescription charge card, Baby’s Birth Certificate, or Hospital Scan Report. Please note: If applying for multiple births (e.g., Twins or Triplets), please provide your Hospital Scan Report letter.

    1.1. Father’s applying for a reusable nappy voucher:

    Please provide Real Nappies for London with evidence of connection to the person who is pregnant, and your relationship to the child. You can do this by submitting:

    • Your ID and your partners ID, or your ID and a marriage certificate.
    • Proof of Pregnancy as above in section 1, or Proof of Birth – your child’s Birth Certificate that shows you as the father.
    • Proof of Address (as above in section 1) with your name and your partner’s name. If you live separately, see information below.

    1.2. For two parents living separately:

    If one parent lives in a voucher-participating London Borough and the other parent lives elsewhere:

    • The application must be made by the person living in the voucher-participating London Borough.
    • Please provide your recent proof of address, proof identity, and your child’s birth certificate showing your connection to the child.

    2. Adoption:

    • Follow the same procedure for requested evidence, Proof of Identity and recent Proof of Address.
    • For Proof of Pregnancy / Birth of Child under 18 months, provide a document such as your child’s Adoption Certificate, amended Birth Certificate showing the adoptive parent’s names and the child’s new name.
    • If you are adopting a child you’ve been fostering, please submit a formal letter of evidence, along with your Proof of Identity. Ensure that the letter contains your name, address, the date and the child’s Date of Birth (aged under 18 months).

    3. For Same-Sex Couples & Surrogacy:

    The stage at which you apply for a reusable nappy voucher may vary based on what evidence you may have. Please submit Proof of Identity, Proof of Address and Proof of Pregnancy/Birth of Child as requested in Step 3 submit your supporting documents. It’s particularly important to consider surrogate data protection, especially when there is an international surrogacy arrangement. In such cases, it might be advisable to wait until after you baby is born and living with you before applying for a reusable nappy voucher. However, we’re here to assist you in determining the correct supporting documentation you may need to receive a reusable nappy voucher as soon as possible, so please get in touch.

    4. Foster carers:

    • Proof of Identity: e.g., Driver’s Licence, Passport or Birth Certificate.
    • Proof of Address: e.g., a recent (in the past month) letter, such as a Council Tax Bill (current year), Phone Bill, Utility Bill or Bank Statement. Please Note: your driver’s licence cannot be used as proof of address. When submitting documents, redact any irrelevant information, such as banking details. We only require your name, address and a recent date on the letter.
    • Proof of Placement of the Child: a recent pro-forma document from the relevant fostering provider (Local Authority or Private), showing details of the child’s foster care placement. Please ensure the letter contains the child’s Name, Date of Birth, and the name of the foster carer (voucher applicant’s name).
    • The Real Nappies for London Voucher Incentive Scheme will consider applications made by Foster Carers on a case-by-case approach, taking into account their specific requirements and needs.

    5. For children up to the age of 5 with a disability:

    • Proof of Identity e.g., Driver’s Licence, Passport or Birth Certificate.
    • Proof of Address: e.g., a recent (in the past month) letter, such as a Council Tax Bill (current year), Phone Bill, Utility Bill or Bank Statement. Please note: your driver’s licence cannot be used as proof of address. When submitting documents, redact any irrelevant information, such as banking details. We only require your name, address and a recent date on the letter.
    • You must provide us with an official letter from a Health Professional, Local Authority, Education Services, or Disability Support Organisation, confirming your child’s disability, their date of birth and the expectation they will require nappies for the next 18 months. If the formal letter is dated in the past month and contains your name, address and date then this can also act as your Proof of Address.

    6. Asylum Seekers:

    • Proof of Identity: e.g., Passport, Official Identity Card such as, Application Registration Card (ARC). Please note: if your card has the remark ‘no recourse to public funds’ we cannot process your application for a reusable nappy voucher.
    • Proof of Address: we need to see evidence that your length of stay is longer than 18 months. This evidence can be submitted by official letter from a Local Authority, or Tenancy Agreement, which should include your name, address, the date of the letter, and length of stay.
    • Proof of Pregnancy or Birth of Your Child: An official document with your name and the baby’s date of birth (DOB) or estimated date of delivery (EDD), such as a MatB1 Form, Baby’s Birth Certificate, or Hospital Scan Report. Please note: If applying for multiple births (e.g., Twins or Triplets), please provide your Hospital Scan Report letter.

    7. People with Temporary Status to Remain in the UK:

    • Proof of Identity: e.g., Passport, Official Identity Card, or Residence Permit.
    • Proof of Address: we need to see evidence of your length of stay is longer than 18 months. This evidence can be submitted by official letter from a Local Authority, or Tenancy Agreement, which should include your name, address, the date of the letter, and length of stay.
    • Proof of Pregnancy or Birth of Your Child: An official document with your name and the baby’s date of birth (DOB) or estimated date of delivery (EDD), such as a MatB1 Form, Baby’s Birth Certificate, or Hospital Scan Report. Please note: If applying for multiple births (e.g., Twins or Triplets), please provide your Hospital Scan Report letter.

    Advice on how to submit your documents:

    When you complete the voucher application form an automated email is sent requesting you to securely upload your supporting documents. Please ensure that all documents are clear, recent, and unaltered (unless redacting irrelevant personal information). You must attach high-quality photographs or high-quality scans. Please note: the upload button automatically sends us your documents, it will show a dialogue box saying it has been uploaded.     If you are sending your application and supporting documents by post, please notify us that you have posted them. Do not send originals.

    Your voucher application will only be processed once Real Nappies for London has received all of the requested supporting documents.
